How to set up email alerts in Media Monitoring

Email alerts allow you to receive real-time notifications when your brand, spokesperson or Smart Folder is mentioned in the media. You can tailor alerts by mention type, country, outlet and delivery preferences to ensure you’re notified about the coverage that matters most.

Step 1: Go to Coverage

  • Log in to your workspace and navigate to the Coverage tab from the top navigation.

Step 2: Open Alerts

  • Within Coverage, click Alerts.
  • This will take you to your alerts dashboard, where you can view existing alerts or create a new one.

Step 3: Create a new alert

  • Click Create alert.
  • You’ll be guided through a step-by-step setup process shown in the right-hand panel under Add alert, where each stage is clearly marked.

Configuring your alert

The alert builder is completed in the following stages:

1. Alert details

  • Start by giving your alert a name.
  • Choose something clear and descriptive (e.g. “UK national coverage – CEO mentions”) so it’s easy to manage later.
  • Click Continue.

2. Alert type

Select the type of mentions you want the alert to be triggered by:

  • Mentions your featured entity
  • Mentions one of your spokespeople
  • Smart Folder article mention
  • Choose the option that best reflects what you want to monitor, then click Continue.

3. Outlet location

Choose where the coverage should come from:

  • Any country
  • Outlets in a particular country

If selecting a specific country:

  • Search for the country
  • Toggle it on
  • Confirm your selection
  • Click Continue once you’re happy.

4. Outlet type

Refine your alert further by choosing:

  • Any outlet type
  • Select particular outlets
  • Outlets of a particular type

If selecting specific outlets:

  • Use the search bar to find publications
  • Toggle the outlets you want included
  • Review your selected list
  • Click Continue.

5. Alert output

  • Choose how you want to receive the alert.
  • For email alerts, select An email as the output option.
  • You’ll then proceed to delivery configuration.

6. Review & test alert configuration

Before activating your alert, review all settings:

  • Alert name
  • Alert type
  • Outlet location
  • Selected outlets
  • Alert output

If needed, you can edit any section using the edit icons.

You can also click Test configuration to send a test alert and ensure everything is working as expected.

Once confirmed, click Create alert.

Managing your alerts

After creation, your alert will appear in the Alerts dashboard, where you can:

  • Edit the alert
  • Pause it
  • Delete it
  • Review recipients and status

You can create multiple alerts to monitor different campaigns, regions or spokespeople separately.

When should you use email alerts?

Email alerts are ideal when you want:

  • Immediate visibility of new coverage
  • Campaign-specific tracking
  • Executive or spokesperson monitoring
  • Country-specific media tracking
  • Alerts from priority publications

They help you stay responsive, informed and proactive.
